Select Customer Records
Customer Contact Menu -> Select Customer Records
This utility can be used to build and edit a list of customers for use in producing various lists, and reports, or to export selected data fields to a spreadsheet.
Customer records can be manually entered in the list, or the list can be built based on specific information as outlined in the Selection Criteria utility.
To use the Selection Criteria option, click on the CLEAR/SELECT button at the bottom of the screen and select the Select Customers action.
The fields in the customer list table include:
SEQ
The sequence numbers are assigned by the software to track the records in the table.
SORT KEY
The Sort Key determines the sequence that the customer records are listed.
The Sort Key can be auto-set displaying the sorting preference of customer Alpha Name or customer Number if the Selection Criteria utility is used to generate the customer list, or the Sort Key can be left blank or manually set if customer records are manually entered.
The same customer can be listed multiple times in this Select Customer Records list, only if each record has a different Sort Key.
This allows a customer to be included multiple times in the list based on different criteria.
Note: If the Selection Criteria is re-run using the same Sort Key without clearing the existing list and a customer record is re-selected a second time, the latest selection criteria does not replace the original selection criteria that qualified this customer.
CUSTOMER NUMBER
The Customer # can be entered or is displayed if the Selection Criteria utility was employed.
A Accounting Customer Search window is provided to lookup customers.
CUSTOMER NAME
The Customer Name is displayed.
SELECTION CRITERIA
The Selection Criteria window is provided for convenience to remind the operator why each customer was included in the list. This is information only.
In the Selection Criteria window there are six tabs that can be used to select and filter the customers.
The Selected By ... box on each tab will be checked and the parameters displayed, if that tab was considered in making the customer eligible to be included in the Select Customer Records list.
Only customer that match all the selection criteria defined on the tabs will be included in the list.
Refer to Selection Criteria for details on these tabs and parameters.
Finished?
Additional customer records may be added, and records can be deleted or removed from the list, prior to saving the list or generating output.
Click ACCEPT to save the list and exit the window.
ACTIONS:
Additional actions provided by buttons on the Select Customer Records screen include:
•Delete a Customer from the List:
Click on the sequence number for the customer record to be deleted from the selection list and then click the DELETE button.
Confirmation is required.
•Generate a Customer Report:
Click on the PRINT/EXCEL button to access the output selection options and select one of the following:
oSelect Print Selected Master List to generate a master list based on the customers in the Select Customer Records list, as outlined in Print Selected Master List.
oSelect Print Telephone List to generate a phone list based on the customers in the Select Customer Records list, as outlined in Print Selected Telephone List.
•Export Selected Customer Information:
Click on the PRINT/EXCEL button to access the output selection options and click on the Export to Excel option to output specific customer data to a spreadsheet as outlined in Output Selected Records to Excel.
•Clear the Customer List:
Click on the CLEAR/SELECT and select the Clear Existing Records action to remove any customer records from the Select Customer Records list, in preparation for starting a fresh list.
Confirmation is required.
•Use the Selection Criteria Utility to Build a List of Customers:
Click on the CLEAR/SELECT and select the Select Customers option to access the Selection Criteria utility, in order to generate the customer list based on Customer, Follow Up, Profile, Revenue, Class/Group, and/or Competitor information and filters.
