Job Site Service Report
Counter Menu -> Job Site Service Schedule -> REPORT button -> Job Site Service Report
The Job Site Service Report prints the customer number and name, with the contract #, the products on the contract and the service interval.
It can be sorted by date or by city.
After generating, this report can also be used to update the dates and information on the Job Site Service Schedule.
The prompts are:
FROM DATE
Accept the default starting date to include all jobs or enter the starting date for the report.
TO DATE
Accept today's date or enter the ending date for the report.
FROM CITY
Leave this field blank for all cities, or enter a city to start the list.
TO CITY
Leave this field blank for all cities, or enter an ending city for the list.
FROM POSTAL CODE
Leave this field blank for all postal codes, or enter a postal code to start the list.
TO POSTAL CODE
Leave this field blank for all postal codes, or enter an ending postal code for the list.
DIVISION, "ALL", OR "SEL"
•Type ALL to accept all divisions in the one report.
•To print the report for a single division, leave this field blank for the Head Office Division, or enter a specific division code, or select one from the drop-down list.
•Type SEL to select a range of divisions or to select divisions by accounting region as outlined in Division Select By Region.
Note: The division selection is restricted by the Divisional Restricted Views assigned to the operator.
ZONE OR "ALL"
When the report is filtered by selecting a specific Zone, the Contracts returned must match the City or Postal code in that Zone as defined in Zones.
•Type ALL to include Contracts from all Zones in the output.
•To print the report for Contracts from a single zone enter the specific division zone, or select one from the Zone Search window.
Only Zones defined in Zones for the selected Divisions can be selected and the search window only reflects Zones for the Division selection above.
OUTSTANDING CONTRACTS ONLY
Check this box to list only open contracts.
Uncheck this box to list all contracts, including open and closed contracts.
REPORT OPTIONS
This value defaults to the operator preference as defined in Operators.
Select one of the output options to Print a report or export the data to Excel as outlined in Report Options.
Note: The ability to and method of updating the Job Site Service Schedule is dependant on the output option selected as explained below in the Update Date Serviced, or click on the information ? icon for an explanation.
SORT REPORT BY
If the output is to be Printed to a Report, select one of the following sort options:
•Select Date/City to sort the list by Date and then by City within each date.
•Select City/Date to sort the list by City and then by Date.
•If the output is to be generated to an Excel spreadsheet the Zone option is automatically selected and cannot be changed.
SECONDARY SORT BY SHIP ADDRESS
Uncheck this box if the Excel spreadsheet output by Zone should list the Cities in the order they were entered in each Zones with any extra cities listed at the end.
Check this box if the records should be sorted by the Street Name of the address, regardless of street number.
Finished?
Click ACCEPT to generate the report or CANCEL to abort.
UPDATE DATE SERVICED?
After the output has been generated, one of the following two options is provided:
•Printed to a Report:
The option is provided to update the Date Last Serviced on each job with the Service Date per the report, which cannot be modified by the operator.
Click NO to leave the Date Last Serviced unchanged for the listed contracts.
Click YES to update the Date Last Serviced for the contracts on the report, by the Service Date on the report that has been calculated by the Service Interval days defined on the document, and to update the Job Site Service History.
The default Date Out is used for the Service Date if the date last serviced is blank.
Note: No Driver or Comment is captured or written to Job Site Service History.
•Output to a Spreadsheet:
The option is provided to update the Date Last Serviced on each job with the New Date Serviced from the spreadsheet, which defaults to the next expected date, but can be modified by the operator.
A message is triggered explaining that the Driver, New Date Serviced and Comment can be updated by adding the information to the spreadsheet and saving it as a tab-delimited file, before importing the resulting file using the IMPORT button on the bottom of the Job Site Service Schedule screen.
The New Date Serviced is automatically populated on the spreadsheet by the (Date Last Serviced + Service Interval) and this can be manually modified on the spreadsheet before saving it.
Note: The Date Last Serviced is left blank on the spreadsheet if there is no last serviced date and so there in no New Date Serviced calculated, but on the report output the Date Out is used as the Date Last Serviced if none has been provided.
To import the tab-delimited file txt file successfully the Driver Code must be valid in the Drivers table, the New Date Serviced must be in the acceptable format as defined in Company Information, and the Comment only allows 80 characters.
Imported records update the Job Site Service History with the Date, Driver and Comment.
Note: Using the spreadsheet output/import option to update the schedule allows multiple manually defined New Dates Serviced to be updated on each contract per the different product details where the last date becomes the Date Last Serviced for the contract, whereas using the report output with the direct update action only one Date Serviced per contract based on the service interval is updated on the schedule.
