Group Maintenance Schedule


System Maintenance Menu -> Configure System Settings -> Operations Tab -> Inventory -> Product Groups -> Maintenance Schedule window -> Group Maintenance Schedule


A Group Maintenance Schedule can be setup as follows:
 Maintenance Schedules can also be updated for a Group by the Update Group Information export/import utility.

TYPE (1-5)

Enter the appropriate maintenance type for the products in this Group or select it from the following drop-down box options:

1 - By # Of Rental Days
 2 - By # Of Actual Days
 3 - By Actual Date
 4 - By # Of Meter Units
 5 - By Actual Meter Reading

MAINTENANCE CODE

Enter the Maintenance Code or search for it in the window as outlined in Maintenance Code Search.

DAYS BETWEEN

Enter the number of CALENDAR days before the next maintenance service is due.

METER BETWEEN

This field applies only to Maintenance Type 4 - By # Of Meter Units, and is skipped for the other Maintenance Types.
 Enter the number of meter units (hours, etc) which can elapse before the next maintenance service is due.

KITS

Window to add optional Service Kits as setup in Work Order Service Kits that are to be used on this repair.

REQUIRED SERVICE KITS

Multiple kits may be selected for a repair.

SERVICE KIT#

In Add mode, enter the Kit code or lookup the appropriate kit in the selection window.

SERVICE KIT Window

All Kits or only Product Kits (kits currently assigned to product on maintenance schedule) can be viewed. A list of kits and their descriptions display. Select the appropriate kit for this service job.

QUANTITY

Enter the quantity of this kit to be used on the repair.

Finished?

Click ACCEPT to accept the kit information.

MAINTENANCE REPORT NOTES

Window to access the service instructions window, and in Add mode, enter any instructions for this maintenance record. Service Instruction can be printed on the Print Maintenance Schedule .

WORK ORDER SERVICE NOTES FILE

A separate document with service notes such as a Product Check List of maintenance tasks that will be printed with the Work Order, can be linked to a scheduled equipment maintenance record for this Group.
 The setup and format of the external notes document depends on the forms option your firms as defined in Customer Forms.

Note: The file name will be displayed in red if the PDF file no longer exists on the Server.

W.O. Service Document with Standard and Crystal forms:
 For Standard and Crystal form formats the Work Order Service Notes File must always be an "rtf" document that is stored on each Client workstation.

To attach a service notes file, the program file sheet.exe must be located in the scsbin directory of the Windows workstation. This program is included on the Client software CD.
 Each notes file can then be created and saved with an .rtf extension in \scsbin\docs\ for each workstation. The filename cannot include any spaces. The pathname is not required.
 e.g. Compressor_Service.rtf or 1001instructions.rtf

W.O. Service Document with Jasper forms:
 For Jasper Forms the Work Order Service Notes File must always be a "pdf" document and must be stored on the Server in the Directory For WO Svc Notes defined in the Company Miscellaneous Parameters.

A Directory Browser selection window is provided to select a Work Order Service Notes File to be associated with this Maintenance record for products in this Group.

The selected document filename will populate the W.O. Service Notes field for equipment in this Group when it is scheduled for the same Type and Code of maintenance in Maintenance Schedule.

INSPECTION FORMS

Window to add optional Inspection Forms that apply to this service work.

GROUP INSPECTION FORMS

Multiple forms may be selected for a repair.

FORM

In Add mode, enter the Form or select it from the Inspection Form Search window.

FORM NAME

The Form name is displayed.

ASSIGN TO WO

Check this box to assign this Inspection Form to the Maintenance Schedule when it is generated for products in this Group base on this Maintenance record.

ASSIGN TO INSP

This box is disabled as it does not apply to W.O. Maintenance Service

Finished?

Click ACCEPT to accept the kit information.

MAINTENANCE BY ACTUAL DATE window

DATE

This date field applies only to Maintenance Type 3 - By Actual Date, and is skipped for the other Maintenance Types.
 Enter the specific date for the maintenance. To repeat this kind of maintenance every year - setup the entries here by typing in several sequences with different dates.
 i.e. Seq 001 01/01/2009, Seq 002 01/01/2010, Seq 003 01/01/2011, etc.

Type in specific instructions of the maintenance to be completed. The instructions print on the maintenance schedule.
 If a date has been entered the instructions for only the relevant date, print on the maintenance schedule.

Finished?

Click ACCEPT button to accept and exit.

MAINTENANCE BY ACTUAL METER window

METER

This field applies only to Maintenance Type 5 - By Actual Meter Reading, and is skipped for the other Maintenance Types.
 Enter the meter reading when the next service is due, i.e. 30000

DESCRIPTION

Type in specific instructions of the maintenance to be completed. The instructions print on the maintenance schedule.
 If a date has been entered the instructions for only the relevant date, print on the maintenance schedule.

Finished?

Click the ACCEPT button to accept and to exit.

A Group Maintenance Schedule can also be cloned to a product or a selection of products using the utility Clone Group Maintenance Schedule To Product.

ACTIONS:
 Additional actions provided by buttons on the Group Maintenance Schedule window include:

Maintain W.O. Service Documents for Jasper printing:
 Click the SERVICE INSTR button to view and maintain all the Work Order Service Notes PDF files on the server in the Directory Browser window.
 To select one to be associated with a specific Maintenance Schedule record, click on the window icon in the Work Order Service Notes field of the relevant Maintenance record.

Delete Group Maintenance Schedule Records:
 The DELETE button is only active when the role assigned to the operator in Operators has permission to delete Group Maintenance Schedule.
 The role permission is setup in Security Roles on the Security tab of Configure System Settings.
