Group Special Rates

System Maintenance Menu -> Configure System Settings -> Operations Tab -> Rental Rates & Pricing -> Special Rate Codes -> Details window -> Group Special Rates window ->

Use this utility to enter and maintain the special rental rate levels by Group.
 Special rates can also be updated for the Groups from Rental Inventory in the Product/Group Special Rates window.

There are two approaches for calculating the Special Rates for products and/or groups:

1.This Special Rate method uses a straight dollar amount over-ride on the Rate to be charged for each applicable rate code.

2.To calculate the Special Rate by a discount percent of each standard rate, use the Rate Discounts option for products and/or groups instead.

Note: Special rates will only apply, if there is an existing standard rate for the Group for that same Rate Code.
 Invalid rate records for the Group are displayed in red text.

Group rates can be changed and additional records can be added for the rate level with the applicable special rental rates according to the operator's Security Role as follows:

•If the Operations - Special Rate Codes is allowed all special rates can be viewed and modified in this table including all divisions.

•If Operations - Special Rate Codes role permission is not allowed but the Operations - Division Special Rate is allowed, the operator can still view all Special Rates and the associated drill down windows, but can only modify the Special Rates for his Division, and only if there is a quantity On Hand for the product at his Location as defined in the Operators.

If this utility is accessed from a menu rather than from the Group Special Rates window in Special Rate Codes, then the operator is prompted for the following selection information:

LEVEL

Enter the Special Rate level or select it from the Special Rate Level Search window.

GROUP #

Enter the relevant Group or select it from the Group Search window.

RATES

The rate structure details for the rate Level can be entered in the paging screen for this Group as outlined in Special Rates for Products/Groups.

If this utility is accessed from the Details window in Special Rate Codes, then the Level has already been determined and the operator is prompted for the following selection information:

GROUP #

Type in the Group # that gets this special rate, or select it from the Group Search window.

RATES

Window to access the rate structure details for the rate codes, as outlined in Special Rates for Products/Groups.

DESCRIPTION

The group description displays.

First Three Rate Codes:

For easy reference, the first three rate codes checked to display in the Rate Book as set in Company Default Rates, are displayed with any special rate amounts, as setup in the window on the Rates field explained above.

Note: Because the descriptions in these columns are the company defaults, they may not accurately reflect the description given to the rate code on the specific group.

Groups can be added, deleted, or rates can be modified in this list.
 The rate book product groups can be printed from Ratebook By Group.
