Update Maintenance Schedule


Work Order Menu -> Maintenance Scheduling Menu -> Update Maintenance Schedule


This utility can be used to update the maintenance schedule information as repairs on products are completed, instead of completing the Work Order process.
 This program does NOT generate any postings, and restricts operator access to only the relevant data fields that apply to update an existing service schedule record.
 Only the last service date, days, or meter units, can be modified on the service schedule according to the Maintenance Type defined by each product service record.

For complete details on each of the information fields or to add new service schedule records refer to Maintenance Schedule.

The prompts to update a service record include:

PRODUCT #

Enter the product number or look it up in the Inventory Search window.

This is an update utility and new records cannot be added.
 New maintenance records can be added in Maintenance Schedule if required.

MAINTENANCE TYPE

Enter the method used to schedule the existing maintenance record.
 Maintenance types include:

Type 1 for By Number of Rental Days
 Type 2 for By # of Actual Days
 Type 3 for By Actual Date
 Type 4 for By # of Meter Units
 Type 5 for By Actual Meter Reading
 

A window is provided to view and select from any scheduled maintenance records for this product, as outlined in Maintenance Type and Code Search.

MAINTENANCE CODE

Enter the maintenance code that applies to the existing maintenance record, or select the service record from the Maintenance Type and Code Search window.

Resulting Service Information:
 The appropriate measurement values from the maintenance record and the current product readings are displayed.
 For a detailed explanation of each field refer to the Maintenance Schedule.

Only relevant information can be updated when a repair or service is completed, according to the Maintenance Type used to schedule the service, as follows:

Type 1 for 'By Number of Rental Days' -only the # Rental Days Last Serviced can be updated.

Type 2 for 'By # of Actual Days' -only the Date Last Serviced can be updated.

Type 3 for 'By Actual Date' -only the Date Last Serviced can be updated.

Type 4 for 'By # of Meter Units' -only the Meter Reading Last Serviced can be updated.
 An information only window is provided on the "Current LTD Meter" field to view the Meter History.

Type 5 for 'By Actual Meter Reading' -only the Meter Last Serviced can be updated.
 An information only window is provided on the "Current LTD Meter" field to view the Meter History.

Finished?

After each record is updated with the current service date, days, or meter count, click ACCEPT to accept the new values and update the maintenance schedule, or click CANCEL to abort that record.

ACTIONS:
 Additional actions provided by buttons on the Update Maintenance Schedule screen include:

Generate a Spreadsheet list of all Maintenance Schedules:
 Click the EXPORT button to output the existing Maintenance Schedules to an Excel spreadsheet using the filters in the Maintenance Schedule Export window.
 When the changes to the spreadsheet are completed, save the spreadsheet to a "tab-delimited" text file in preparation for importing.

Update the new Data to the Maintenance Schedules:
 Click the IMPORT button to upload the revised Maintenance Schedules data after saving the spreadsheet as a "tab-delimited" text file, importing the data back into the Maintenance Schedules table using the Select a File to Upload utility.

Note: New data lines must match the first 3 identifying fields (Product#, Maintenance Type, Maintenance Code) either on an existing 'Maintenance Schedule' record or a HEADER Type record line on the import file, in order to identify the Maintenance Schedule to be updated.

A report on the number of items updated is triggered and confirmation is required before the update to the Maintenance Schedules table is executed.

View the Maintenance Schedule:
 Click on the INQUIRY button to view the maintenance records, selecting one of:

oBy Product and proceed as outlined in Product Maintenance Schedule Inquiry.

oBy Group and proceed as outlined in Group Maintenance Schedule Inquiry.
