There are several auto-assign product numbering options that can be activated from the Company Inventory Parameters.
The numbering conventions can be defined separately for Sales and for Rental products.
Manual assign may be used at the same time with any of the auto-assign options.
There are several auto-assign formats.
Rental Product numbers are usually setup using one of the Group/Class auto-assign formats.
Following are the mask options:
•To generate a sequential numeric auto-assign product #, type in a mask of a number of 9's indicating the maximum length of the auto-number.
Each product number will be preceded with leading zeros, to complete the prescribed number of digits.
e.g. 9999 results in a 4 digit number with leading zeros
99999 results in a 5 digit number with leading zeros
If leading zeros are NOT required enter a Z in the mask format.
e.g. Z9999
Note: In an attempt to prevent "gaps" in the numbering system, skipped numbers backing up to 50 numbers will be used when assigning the next available product number. This means if the numeric count starts at 1000, by entering 1050 as the last used transaction, any unused numbers between 1000 and 1050 to still be used.
•A letter may be entered to precede a number sequence, by using a mask of a single letter followed by nines.
The letter must be uppercase and can be any letter from "A" to "Y"
("C", "G", and "Z" are not allowed.)
The number of 9's indicates the maximum length of the auto-number.
e.g. R9999 results in auto-assign of R0001, R0002, R0003
S99999 results in auto-assign of S00001, S00002, etc.
•The auto-assign of product numbers can also be triggered from a selected Group.
This is a practical numbering system to use, when the Product Classes are lengthy codes or when the Classes are setup as "words" such AIR, SAWS, BLADES, ABRASIVES etc
To indicate use of a Group only, use a mask of a combination of "G's" and 9's.
e.g. GGGG-9999 results in a 4 character Group, a hyphen, and a 4 digit product number, such as 5302-0001
The second part of this mask can be 99, 999, or 9999.
With this mask when an operator adds a new product, he is first prompted to select an existing Group or add a new Group for the product.
The product number extension is then sequentially assigned, and the last used product number for the Group is carried internally for each Group.
If the Group # selected exceeds the number of "G's" on the mask, the Group number is truncated when used as part of the product number.
•The auto-assign of product numbers can also be triggered from a selected Group, that is in turn controlled by a selected Product Class.
To indicate such use of a Group, use a mask of a combination of "C's" "G's", and 9's.
e.g. CCGG-9999 results in a product number, such as 4020-0001, where 0001 is the first product number in Group 4020, and Group 4020 belongs to Class 40.
The number of "C's" and "G's" indicates the maximum number of characters allowed for the Class and Group portion of the product number. If either Group # or Class exceeds the allotted number of characters on the mask, that number is truncated when used as part of the product number.
The second part of this mask can be 99, 999, or 9999.
When an operator adds a new product, he is first prompted to select an existing Group or add a new Group, and then to select an existing Product Class or add a new Class for the product.
The product number extension is then sequentially assigned, and the last used product number for the Group is carried internally for each Group.
When a new Group is added for a Class, the last used Group number is in turn, carried internally for by the Product Class record.
Note: If a product mask is defined for assigning new product numbers, the operator can always over-type the product number with a manual number when preferred.
When a product masks are utilized, this window can be used to view and update the next product number to be used when new products are added for a Group.
The prompts are:
SEQ
The sequence number tracks the mask records in this file.
MASK
Each Mask format that has been used as a numbering convention by your firm is displayed.
Refer to the mask options in the Company Inventory Parameters for the various compositions.
LAST USED
The number that was last assigned to a new product number for this mask is displayed.
This value can be changed to start the numbering of new products using this mask at a different number.
Last Used Hits Maximum:
When the product mask uses a number of 9's to number the products and the number of products meets that limit, the mask is automatically adjusted or 'rolled-over'.
The product mask will increase the available size of the number if the maximum number has been met.
i.e. MASK: CCGG-99 increases to CCGG-999 after 99 is used up or MASK: S999 increases to S9999 after 999 is used up
The following Last Used is respected:
oIf the new mask already has a running balance (i.e. the new mask has already been used) then numbering will continue incrementing from that Last Used.
oIf the new mask does not have a running balance then the count will be set to a high enough starting number so that the numbers will not overlap or be re-used.
i.e. MASK: GGGG-999 increases to GGGG-9999 and then first product will be assigned GGGG-1000 and not GGGG-0001.

Note: The next available product number is NOT assigned to new Bulk Rental equipment.
Because a bulk number does not represent a unique piece of equipment, bulk items always default to an extension of -00. e.g. 2301-00, 1001-00
This can always be over-typed as required if there are more than one bulk product number in the Group or in the numbering mask.
