Parent/Child Portal Relationships


Portal Management -> Customer Access -> Parent/Child Portal Relationships


This Portal feature enables a Parent/Child customer account relationship to be established to provide a senior customer access to his dependant customers' account information via Portal web access.
 The Parent can access all its children's accounts on Portal as well as any of their child accounts.
 For a Parent to be able to access the child's account, it is not necessary that the child be licensed to use Portal.

Note: A Child customer can see its children's accounts, but a Child cannot see upward to its Parent's account.

When the Parent customer logs into Portal and there are any Child accounts setup, the Parent can select a Child or the Parent account from the Select Customer Account drop-down box.
 The 'Customer Administrator' can also give his employees access to the Child account information, by setting the flag for the employee in the Portal User Profile.

Parent/Child relationships can be setup as follows:

ALL PARENT CUSTOMERS

Check this box to display all existing Parent customers.

Uncheck this box to view the list of Child accounts for a specific Parent.

PARENT CUSTOMER #

Enter the customer number for the specific Parent or select it from the Accounting Customer Search window.

DIRECT CHILD ACCOUNTS

This is information only.

If All Parent Customers are being viewed, this value represents the number of Parent accounts.

If a specific Parent Customer # is being viewed, this is the number of Child accounts directly linked to the Parent at this level.

This number matches the records listed at this level on the screen.

Note: The total Child accounts associated directly with the Parents listed, is displayed in the Total Visible Child Accounts field at the bottom right of the screen.
 This count applies only to the next level and does not reflect children of those Child accounts.

Parent/Child Details List:
 

If All Parent Customers are being viewed, any Parent accounts that have associated Child accounts are listed by customer number, with name, and phone number.
 Additional Parent accounts can be added, or accounts can be removed.
 A window it provided on the Child Accts column to drill down to children of this customer, as outlined in Additional Child Records.

If a specific Parent Customer # is being viewed, the Child accounts directly linked to the Parent are displayed by customer number, with name, and phone number.
 Additional Child accounts can be added, or accounts can be removed.
 A window it provided on the Child Accts column to drill down to any children of each Child, as outlined in Additional Child Records.

Add Parent/Child Records

Additional customer records can be added to this table as Parents, with Child accounts assigned in the Child Accts window as outlined in Additional Child Records.

Note: Parents added to this screen without assigning any Child accounts are not saved as Parent records.

TOTAL VISIBLE CHILD ACCOUNTS

This is the total number of Child records for the Parents listed on the screen.
 i.e. The sum of the Child Accts column count.

When All Parents are being viewed, the sum of the Total Visible Child Accounts and the Direct Child Accounts is the total Parent/Child records.

Finished?

Click ACCEPT to accept and exit the screen.

ACTIONS:
 Additional actions provided by buttons on the Parent/Child Portal Relationships screen include:

Delete a Parent/Child Record:
 This button is disabled if All Customer Parents are displayed, as the Parent will automatically be removed if there are no associated Child accounts.

A Child account can be removed, breaking the link to its Parent by clicking on the sequence number of the record to be deleted to highlight or focus on it and click the DELETE button.
 Confirmation is required.

Note: If there are any lower level Child accounts associated with the Child account being removed, these children still remain associated with that Child account. (i.e. It is only the original Parent's link that is cut.)
 If these children should NOT remain linked to the Child being removed, delete the existing children first from the Child Accts window before deleting the Child.

Output the Parent/Child List to a Spreadsheet:
 Click EXCEL to export all Parent/Child relationships to an Excel spreadsheet as outlined in Export Parent Child Relations for further data manipulation.
