Portal Inventory/Division Settings


Portal Management -> Setup -> Inventory/Division Settings


This utility can be used to control what items are displayed and accessible on the Portal website pertaining to Divisions, Product Classes, Groups, and Products.
 Product pictures can be displayed on the website for groups and products, by capturing images and providing the file mapping and name information.

The prompts include:

SELECTION

This utility provides the option to view and maintain the accessible records for each of four categories.
 The description in the Code column changes to reflect the selection.
 Select one of the following:

Select Division to generate a list of divisions with the associated Website status.
 The Image column does not apply to divisions.

Select Class to generate a list of Product Classes with the associated Website status.
 The Image column does not apply to classes.

Select Group to generate a list of Product Groups with the associated Website status.
 Note: Because equipment rentals are always booked by Group, rather than by product, this may require that the Groups be quite specific.

Select Product to generate a list of products with the associated Website status.
 Note: Though specific rental products can be reviewed in the Portal inquiry options, rental equipment can only be added to the Shopping Cart at the Group level.
 Additional filters are provided to narrow down the product list display as follows:

PRODUCT CLASS

Enter the class of products to display or select it from the Product Class Search window.

SORT ORDER

Select one of the following options to sort the list:

oSelect Product # to display the product list in product number sequence.

oSelect Description to display the product list alphabetically by the product's primary description.

Inventory/Division Details:
 The following information and flag settings can also be maintained in Divisions, in Rental Product Classes/Sales Product Classes, in Groups, and in Rental Inventory/Sales Inventory.
 The information fields include:

SEQ

The sequence number tracks the records in the table.

CODE

This column reflects the value defined in the Selection field for the current display, and will be Division, Class, Group, or Product # accordingly.

Divisions, Classes, and Groups are listed in numeric order.
 Products can be sorted by description or number order.

DESCRIPTION

The corresponding descriptions display.

WEBSITE

This flag controls whether the division is included in the division selection windows accessible by your customers, and which of the classes, groups, or products shows on the Shopping Cart page of the Portal website.
 The options are:

Leave this field blank or select System Default from the drop-down list, if this item should respect the default flag set by the parameter Show on Website Default in Global Portal Settings.

Type N or select No to prevent the division, class, group or product from being accessible on the Portal website.
 This specific flag over-rides the default in the Global Portal Settings.

Type Y or select Yes to cause the division, class, group or product to be accessible on the Portal website.
 This specific flag over-rides the default in the Global Portal Settings.

IMAGE

This field does not apply to Divisions or at the Product Class level.

If a product picture for this Group or product should be displayed on the Portal website, enter the file name with the appropriate mapping.
 Image files with "jpg" or with "gif" extensions can be used.
 i.e. /images/scislift.jpg

Note: If the Image File Directory has been entered in the Web Appearance Settings of Presentation Themes then only the image file name needs to be entered here, and the path directories can be omitted.
 i.e. scislift.jpg

ACTIONS:
 Additional actions provided by buttons on the Inventory/Division Settings screen include:

Flag all Records to Show On Web:
 Click SET ALL to flag each record displayed on the screen to be shown on the Portal website.
 Flags for individual items can then be changed as required.

Flag all Records to NOT Show On Web:
 Click CLEAR ALL to flag each record displayed on the screen NOT to be shown on the Portal website.
 Flags for individual items can then be changed as required.

Include a Link to a Supplier's Website:
 This button is only enabled when Groups are being displayed, and does not apply to Sales Groups.

Click EXP/CON to expand the product details, to access the Specification URL field to capture the website link for the vendor.
 Type in the optional preferred URL link to access the vendor's product specification information.

When the Rental Group is visible on your company's Portal website, the associated URL can be used to established a direct link to a vendor's website to display the product Specification information.
 This is a convenient method of keeping your equipment specs current with the vendor's, without requiring constant updating of your own company Group information.
