Group Clean-Up Export


Utilities Menu -> Data Export/Import Utilities -> Update Group Information -> Group Clean-Up Export


This export filter screen can be used to select the Groups to be updated, and to generate a spreadsheet template listing the values that can be updated for each of the Groups.
 The spreadsheet can be generated with or without populating the existing Group values in the columns.

The prompts are:

DATE FORMAT

Accept the date format default as defined for your company in Company Information, or enter the preferred format.
 i.e. North America = mm/dd/yyyy , European = dd/mm/yyyy

EXPORT TEMPLATE ONLY

Uncheck this box to generate a blank spreadsheet template with only the column headers of the fields that can be updated.
 Check this box to populate the spreadsheet with the existing values from the selected Groups.

GROUP TYPE

Select one of the following filters:

Click Rentals to only include rental Groups based on the Product Class assigned to the Group.

Click Sales to only include sales Groups based on the Product Class assigned to the Group.

Click Both to include sales and rental Groups.

Group Selection:

One of the following two filters must be used to select the Groups for the worksheet export.

GROUP, 'ALL' OR 'SEL'

Type ALL to include all Groups, that match the selected Group Type.

Enter a specific Group to export only data for that Group, or select a Group from the Product Group Search window.

Type SEL to select a combination of Product Groups to include as outlined in Select Group List window.

CLASS, 'ALL' OR 'SEL'

Type ALL to include Groups from all Product Classes, that match the selected Group Type.

Enter a specific Class to export only data for Groups from a single Product Class, or select a Class from the Product Class Search window.

Type SEL to select a combination of Product Classes to include as outlined in Select Class List window.

Finished?

Click ACCEPT to generate the spreadsheet or CANCEL to abort.

Resulting Spreadsheet:
 

The resulting spreadsheet lists the selected Groups, with the values that can be updated.

Modify the spreadsheet with the correct values.

The date format must match the format defined when the worksheet was generated.
 i.e. North America = mm/dd/yyyy , European = dd/mm/yyyy

Additional Groups can be added to the spreadsheet.

New Groups can be created by adding them to the spreadsheet.

When an 'Attachment Name #' is to be added to a Group, a corresponding 'Attachment URL #' is required to import the attachment successfully.

The same URL can only be added once to a specific Attachments table so be careful not to include a specific URL more than once per Group.

Note: Blank fields on the import spreadsheet could remove data and is controlled by the option to "Ignore Blank Values" provided on the Import.

Save the Revised Data:
 When the values are all updated on the worksheet, save the completed spreadsheet to an ".xls" file on your client machine.
 Then use the Select a File to Upload utility to move the saved file from your client to the server in preparation for re-importing the data.

Note: Generally Import files must be in a 'tab-delimited txt' format to import but that process limits the data to 2000 characters, so this import requires the import file to be in spreadsheet format with an .xls extension.
