Customer Internet Information


Accounts Receivable Menu -> Customer Information -> Internet Information

This window provides the ability to setup email addresses for secure communication with your Cash and On Account customers and the Internet controls to access the web Portal or Gateway.
For more information on the Portal feature refer to Portal Overview.

When new customers are added they are automatically given website access and if no password is entered then a default password that matches their new customer number is assigned.
If no email address is entered new customers are also automatically assigned a default email address that matches their new customer number@GW.COM
The Enable Customer Website Access utility can be used to update any customer records missing this information.
This web access information can always be modified in this Internet Information window or in the Portal Customer screen.

Note: A customer that has been defined as the Clone customer for standard documents or for quotes in Divisional Contract Information is a generic customer and cannot be allowed Website Access nor assigned a Website Password.

The prompts are:

PARENT ACCOUNT
Enter the Parent customer number if this customer is designated as a Child of another customer for purposes of viewing account information on the Portal.
Refer to Parent/Child Relations for further details on this feature.

ALLOW WEBSITE ACCESS
Uncheck this box if web site access should not be allowed for this customer.

Check this box if this customer should be allowed web site access.
Web site access and the web site password can also be setup in Portal Customers.

WEBSITE PASSWORD
This field is disabled for customers that are not Allowed Website Access such as Customers identified as a 'Clone' customer for any Division in the Divisional Contract Parameters as these customers are too generic and cannot be setup as a Portal Customer.

Enter the password. This is the company administrator's password.
The administrator can then setup access for other operators from his company, and can also control the level of their access.


SECURITY CONTACT NAME
Enter the name of the security contact person for the company. Only this contact should then be given knowledge of the Portal web site access account password.
If someone else from the company calls, they should then be referred to this person.

EMAIL ADDRESS
Enter the unique email address of the security contact person for the company, of up to 60 characters.
If this address has already have been assigned to another customer for web services purposes or to a salesman in Salesman Codes, an error is thrown and the Email Assigned List is triggered for follow-up.

This address is used as the security contact that can then be emailed if a request is made for a forgotten password.
It is also the default address when Invoices are emailed from Customer Account Inquiry when there are no eligible Contacts setup.

This address can also be captured in Portal Customers or if the customer was added on-the-fly.

Note: The Email Address Search can be used to identify customers or salesman by using a search on email address or portion of the email address.

Click on the envelope icon to the right of the address to immediately send a message to this address using Compose Email.


OTHER EMAIL ADDRESSES
Window to access the additional Email Address window as follows:
SEQ
Multiple addresses may be entered by sequence number.

EMAIL ADDRESS
Enter the complete email address.

Click on the envelope icon to the right of the address to immediately send a message to this address using Compose Email.


NOTES
An optional comment or note can be recorded relevant to this email address.

CUSTOMER'S WEBSITE
Enter the web site name for this customer if available, so that if the operator clicks on the Link icon provided beside this field, the web site is opened in a browser.

This site can also be captured if the customer was added on-the-fly.
