Add Product Group
Search window -> Group field -> Group Search -> ADD button ->
Add Product Group
When new products are being added, sometimes a new Group and/or
Class are also required if the Product # Mask defined in the
Company Inventory Parameters, requires the
Group or Class to be part of the product #.
From the Assign Product Number in the
Group Search window, click on the
ADD button to add a Group on-the-fly.
The ability to add new Groups can be controlled at the operator
level according to whether the Security
Role that is assigned to the Operator
allows access to Groups.
The prompts are:

- PRODUCT CLASS SEARCH
- This Product Class Search window only
appears when the Product # Mask selected in Company Inventory Parameters, requires the Class to
be part of the Product #.
Select a Class in the window or add a new class as outlined in
Add Product Class from within the class
search window.
PRODUCT GROUP
- The new Group # displays, using the Product Class if required
by the Product # Mask and can be over-typed as required.
To avoid URL errors the 5 special characters "/&?%+"are not
allowed in the numbering sequence when creating new Groups.
DESCRIPTION
- Enter the new Group description, or accept the description
defaulted from the Product Class.
ALT. LANGUAGE DESCRIPTION
- Enter an Alternate Language description for the Group, or
accept the alternate language description defaulted from the
Product Class.
ADDITIONAL INFORMATION
- Window to access the additional information fields, or click
the ACCEPT button to accept the Group defaults and close the Add
Group window.
These additional fields include:
- PRODUCT CLASS
- If a Class has already been selected accept the new Class #
displayed, or select a Class from the Product
Class Search window.
KIT #
- Leave this field blank if no Kit is associated with this Group,
or enter a Kit for this Group, or select it from the Kits Search window.
This kit can later be copied to each product in the Group using the
Clone Group Information to Products
utility.
SUGGESTED SALES LIST #
- Leave this field blank if no Sales List is associated with this
Group, or enter a SSL # for this Group, or selected it from the
Suggested Sales List Search window.
This SSL can later be copied to each product in the Group using the
Clone Group Information to Products
utility.
EQUIPMENT SPECIFICATIONS
- Window to setup optional specifications as outlined in Group Equipment Specifications.
These specifications can later be copied to each product in the
Group using the Clone Group Information to
Products utility.
SAFETY NOTES
- Window to setup optional Safety Notes associated with this
Group as outlined in Group Safety
Notes.
These notes can later be copied to each product in the Group using
the Clone Group Information to Products
utility.
ALTERNATE DESCRIPTION
- Window to setup optional alternate description to be used in
Group searches, as outlined in Alternate Group
Descriptions .
These descriptions can later be copied to each product in the Group
using the Clone Group Information to
Products utility.
GROUP RATES
- Uncheck this box if this Group is only for sales items.
Check this box if the Group includes rental products for which
the Group rates should be used as the defaults.
Click on the icon to access the rates detail
window.
CLONE GROUP RATES
- Uncheck this box if this Group is only for sales items.
Check this box if the Group includes rental products for which
the Group rates should be automatically selected to be included in
the Clone Group Rates to Products
utility.
CHECK AVAILABILITY
- Check this box to determine if this item is available for sale
or rental at this location. The checking of availability is done
during document entry.
This is essential when doing your contracts and invoices live with
the customer standing there so items for rent or sale are not
selected when they are not ready to rent.
Uncheck this box to prevent checking the availability of the
items in this group during contract, reservation or invoice
entry.
RENTAL CONVERSION
- Conversion does not apply to sales item.
Enter 1 (one) if rental products in this group are always rented
as individual units.
If products in this group are always rented in pairs (2) or sets
(e.g. 12 for a dozen), enter the conversion factor.
Note: On the document a quantity 1 would be entered to represent
each pair or each set, although the product file quantity always
reports these as individual units.

- Click OK to accept the Additional Group
Information.
Finished?
- Click ACCEPT to accept the new Group and return to the
Assign Product Number screen, or CANCEL
to abort.
