Document Entry -> activated by Divisional Contract Parameter -> View Customer Information


This utility provides complete information on a Customer's business activity with your firm. This is view only and no changes, additions or deletions can be made to the customer information here.

This information window can also be flagged to automatically appear when entering the header information for the customer, on a counter document such as Contracts, Reservations, Counter Worksheets, Rental Quotations, and in Sales Orders.
To activated this feature for a division, set the Display LTD Figures flag in the Divisional Contract Parameters.

The information fields are as follows:

CUSTOMER#
Enter the customer number, or enter the first few characters of the customer's name (Alpha Key) to generate a list of matching customers to choose from, or use the customer search utility provided in the window.

CUSTOMER INFORMATION
The Customer file lookup window is triggered, displaying the general customer information with drill-down windows to details, as setup and explained in Customer Information.
A window is also provided to re-access this information as required.

Account Aging:
In addition to the general customer information, the customer's "On Account" aging information as of the current date, also displays.
These aging totals include unposted invoices only if the processing to include unposted invoices in inquiries and listings, is activated by the Include Current Invoices in Customer Account setting in the Company Security Parameters.

Internet Information:
For security purposes, the Internet access information window is not displayed in this inquiry.

Click OK to close the general information window.


ACCOUNT BALANCE
The current posted outstanding balance on the customer's account displays.

Window to view the customer account details, listing the outstanding documents and amounts by date with aging information as of the current date, as outlined in View Account Inquiry.


UN-POSTED INVOICES
This field only appears if the processing to include un-posted invoices in inquiries and listings, is activated in the Company Security Parameters.
The total of the unposted invoices that are going to be charged on the customer's account, displays.

Invoice Details:
A window is provided to view the details of the invoices that are included in this total, as outlined in View Customer's Unposted Invoices.

Note: The drill down to the invoice details respects Restricted View by division processing according to the Access Codes assigned to the operator in Operators.

Click OK to close the un-posted invoices window.


VIEW CONTRACTS
This option can be used to generate a list of the customer's contracts and to view complete details related to each contract.

Contract List Filters:
The contract list can be defined for a selected division and/or location range.
Billed contracts, Current/History/Both, or Open/Closed/Both contracts can all be specified for the selection list.
The "Additional Search Options" provide the ability to choose the contracts using the following selection range criteria: Document#, Date Out, Date Due, Bill Name, Ship Name, Customer, Site, Product, Group, and Class.

Contract List:
In the resulting contract list, windows are provided to drill-down to view the Status and Pickup Trx, contract Header, Details, Totals, and any invoices generated from the contract, with their headers, details and totals.

Click OK to close the contract inquiry window.


VIEW INVOICES
This option can be used to generate a list of the customer's invoices and to view complete details related to each invoice.

Invoice List Filters:
The invoice list can be defined for a selected division and/or location range.
Invoice Type, and status of current/batch/history or all, can be specified to narrow down the invoice search.
Similar to the contract search, "Additional Search Options" provide the option to choose the invoices using the following selection range criteria: Document#, Date Out, Date Due, Bill Name, Ship Name, Customer, Site, Product, Group, Class, Division, Location, and Invoice Type.

Invoice List:
In the resulting list of invoices, windows are provided to view the invoice Header, Details, Totals, and the source contract where applicable.
When invoices that require approval before posting are viewed from 'Batch' or ' History' the approver name is listed in the invoice header information.

Print Invoice:
If the Customer Information inquiry was generated by customer from the menu option, the option to print a selected invoice is provided.
The PRINT button is disabled when this utility is called from a document header.

Click OK to close the invoice inquiry window.


VIEW RESERVATIONS
This option can be used to generate and view a list of existing reservations, as entered in Reservations.

Reservation List Filters:
A selected division and/or location range can be specified for the list of reservations.
The "Additional Search Options" provide the ability to choose the reservations using the following selection range criteria: Document#, Date Out, Date Due, Bill Name, Ship Name, Customer, Site, Product, Group, and Class.

Reservation List:
In the resulting list of reservations, windows are provided to view the reservation Header, Details, and Totals.

Click OK to close the reservation inquiry window.


VIEW QUOTATIONS
This option can be used to generate and view a list of existing quotes, as entered in Quotations.

Quotation List Filters:
A selected division and/or location range can be specified to filter the list of quotes.
All quotes, or just sales, or just rental quotes can be requested.
The "Additional Search Options" provide the ability to further narrow down the quotation search using the following selection range criteria: Document#, Date Out, Date Due, Bill Name, Ship Name, Customer, Site, Product, Group, and Class.

Quotation List:
In the resulting list of quotes, windows are provided to view the quotation Header, Details, and Totals.

Click OK to close the quotation inquiry window.


VIEW WORK ORDERS
This option can be used to generate and view a list of closed and open Work Orders, as entered in Work Orders.

W.O. List Filters:
A selected division and/or location range can be specified to filter the list of Work Orders.
All Work Orders, or only Work Orders still current, or only Work Orders completed and moved to history, can be requested.
The "Additional Search Options" provide the ability to narrow down the list of Work Orders using the following selection range criteria: Document#, Date Due, Bill Name, Ship Name, Customer, Site, Product, Group, and Class.

Work Order List:
In the resulting list of Work Orders, windows are provided to view the W.O. Header, Parts Details, and Totals.

Click OK to close the W.O. inquiry window.


VIEW ESTIMATES
This option can be used to generate and view a list of existing estimates as entered in Work Order Estimates.

Estimate List Filters:
A selected division and/or location range can be specified to filter the list of estimates.
The "Additional Search Options" provide the ability to choose the estimates using the following selection range criteria: Document#, Date Due, Bill Name, Ship Name, Customer, Site, Product, Group, and Class.

Estimate List:
In the resulting list of estimates, windows are provided to view the estimate Header, Parts Details, and Totals.

Click OK to close the estimate inquiry window.


VIEW SALES ORDERS
This option can be used to generate and view a list of existing sales orders, as entered in Sales Orders.

Sales Order List Filters:
A selected division and/or location range can be specified to filter the list of orders.
All orders or only open orders can be requested.
The "Additional Search Options" provide the ability to choose the orders using the following selection range criteria: Document#, Date Out, Date Due, Bill Name, Ship Name, Customer, Site, Product, Group, and Class.

Order List:
In the resulting list of orders, windows are provided to view the order Header, Details, and Totals.

Click OK to close the order inquiry window.


REVENUE HISTORY
The sales and revenue history for this customer can be reviewed in this window as outlined in Revenue History.

LTD $ OF RENTALS
The rental LTD (Lifetime to Date) total is displayed for this customer.
Window to view the rental totals broken down by Month or Year.

LTD $ OF SALES
The sales LTD (Lifetime to Date) total is displayed for this customer.
Window to view the sales broken down by Month or Year.

LTD # OF INVOICES
The number of invoices LTD (Lifetime to Date) total is displayed for this customer.

CREDIT HISTORY
Window to view monthly credit history statistics for this customer as outlined in Credit History.

AVERAGE AMOUNT
The customer's average invoice amount is displayed.
