Locations (RSIL)

Inventory and Rental Inventory ->
Quantity On Hand window -> Locations
The sum of all the locations for a product is displayed
automatically in the Quantity On Hand field in Sales Inventory and Rental
Inventory. This window on the Quantity On Hand opens
this window showing the breakdown of that quantity by location and
be current quantity in use
Alternatively, use the Product Quantity
Adjustment or the Update On Hand Quantity
by Product# utilities or the Update Product
Quantities to add the quantity on location later.
Security and Audit Controls:
- This window becomes display only if the operator does not have
role permission to "Add Inventory Quantities" as defined by the
Security Roles that is assigned in the
Operators.
Note: Access to the inventory quantity fields is also available
from other menu options such as the Update
Product Quantities utilities, so additional password and access
security may be required on the other menu options.
- Only locations for which the operator has security
access as setup in Operators, can be
added.
- An Inventory Adjustment record is automatically written,
noting any operator who makes a change.
A record is also written to Review Location
Qty Changes.
- A Location record cannot be deleted from this table if the
Cost by Location feature is enabled or if there are any
quantities for this product "On Hand", "On Contract", "On
Reservation", "On Sales Order", "On Purchase Order", "On Work
Order", "On Work Order Back-Order", or if there is Cost quantity or
a MIN, MAX quantity in the Inventory
Re-Order Information window, or if there is a Cost Calculation
Quantity (CCQ) on the product that is required to track cost per
quantity changes.
- After any changes to product quantities are made directly to
the location count, use Post Inventory
Adjustments to print an audit report and to generate the
postings to balance the change to the Inventory value in the
G/L.
- Product searches in the Inventory
Search tool will return records if there is a location (RSIL)
record in this 'Locations' window even if that Location is flagged
as Type "G/L Division" only or "Neither" in the Divisions table.
Group searches will not return records for Locations flagged as
Type "G/L Division" only or "Neither" in the Divisions table.
The prompts in the inventory location records include:

- LOCATION
- Enter in the Location (Branch or Division) where this sales
item is stored, or select it from the drop-down list.
Only locations for which the operator has security access as
setup in Operators, can be added.
Note: If there is no location record for a product, the product
may not be reflected in inventory searches and location reporting,
so if required the Add Product to Location
utility can be run to create a location record with zero quantity
for these products.
Location records are created as inventory is transferred or
returned to and from various locations which can cause a location
record to display with zero current quantity.
Locations with zero quantity can be removed by the Remove Quantity 0 From Locations utility.
ON HAND
- Type in the quantity at this location only.
Window to view change details of inventory quantities for this
location, as outlined in View Inventory
Quantity Changes.
Note: If quantity is added manually for a Rental Inventory in this window, the associated
Fixed Asset Tag must also be added/updated manually in the Asset Tag Detail window.
BIN #
- This can represent the yard, location, or shelf in your storage
area where this item is normally kept.
It defaults to the location Name but can be over-typed to be
more specific as required.
This value can also be updated by the Inventory Clean-Up utility.
INVENTORY ADJUSTMENT Window
- This window is triggered once if changes are made to the
quantity in the Locations window.
The information in this window captures when and why inventory
quantity changes are made, as outlined in Inventory Adjustment.
Document Quantities
- Product quantities currently on Contract, Reservation, Sales
Order, Purchase Order, Work Order and backordered on Work Order,
are displayed.
Note: The total count in the On P.O. and the On
Order fields displayed on the main screen for the product, may
not match the location quantities shown as On P.O. and On Order in
this Locations window, as the location quantity needs to
include product Transfer quantities in order to reconcile
availability and re-order requirements.
Expanded Record
- Click the EXP/CON button to view the location
name.
Finished?
- Click ACCEPT Key twice (once for the detail line and once for
all Locations).
SERIALIZED ITEMS Window
- This window opens automatically for Sales
Inventory to capture serial numbers only if this is a
serialized sales part that is not set to record the serial numbers
at Time of Sale.
Enter serial numbers to equal the quantity on the locations as
outlined in Serial Numbers.
e.g. If quantity of 3 is added to location 1, record 3 serial
numbers to match.
Quantity Discrepancy:
- On exiting the location window, for Rental
Inventory if the quantity total on a the Fixed Asset tags for
the product does not match the current Quantity On Hand for
the product, the Quantity Discrepancy
warning window is triggered.
Note: If Sales Item Average Cost by Location processing
has been activated in the Support Application
Parameters, location records cannot be deleted here.
