The document inquiry utilities throughout the software provide the ability to view details on existing documents.
Depending on the source of the inquiry and type of document, the ability to drill down to the different parts of the document is provided to view information including the Header with dates, billing customer and shipping site, the product Details with quantities and pricing, and the Totals payment summary with the additional services, any source document such as a Contract, or any resulting document such as the Invoices.
The information varies depending on the type of document that is to be viewed, the status of the document, and any search filters used.
Note: The Purchase Order search by Open or Closed Status, reflects the status of the P.O. header, and does not consider specific products that may be partially or fully received on the P.O.
The resulting document lists also vary depending on the type of document and include information by document number, location, customer, date, and product quantities.
Specific Document Drill Down:
Various windows on a specific document provide the ability to drill
down to information pertaining to that document, including:
When the document drill down inquiry is on a Cylinder Contract, this transactions window displays the Cylinder Delivery Ticket Search information for the contract.
HEADER:
This drill down window applies to all
documents except the Warehouse Receiving Transactions, and
provides the customer or vendor identification and information for
shipping and for billing.
When viewing Invoices in Batch or History, the Reference Contract# field is accessible to be removed or updated.
DETAILS:
This drill down window applies to all
documents except the Warehouse Receiving Transactions.
Product details from the document, display each product #,
description, quantity, unit price, extended amount, and the product
status.
Click the EXP/CON button or press <F9> to view
the notes, division, tax and discount information for the product.
Any split billing amounts from Work
Orders, for the Customer, the Warranty Charge, and Internal
Repair Charge, also display.
Click the ATTACHMENTS button to view any attachments linked to this document or associated with this document by site or by related source documents as outlined in File Attachments.
On Purchase Orders a window is provided on the Order Qty field to view the ordered, received and balance quantities.
TOTALS:
This drill down window applies to all
documents except the Warehouse Receiving Transactions and
Purchase Orders.
It summarizes the final charges including the services, damage
waiver, taxes, and deposit information.
Associated Source and Resulting Documents that can be
Viewed:
VIEW CONTRACTS:
This window applies in
Invoices inquiries, and provides access to drill down on the
contract that was the source of the invoice.
VIEW BILLINGS:
This window applies only in Sales
Orders inquiries, and provides access to drill down on any
resulting invoices that were filled on this order.
VIEW P.O.#:
This window only applies in Warehouse
Receiving Transactions, and provides access to drill down on
the original Purchase Order header and details, when
applicable.
The Prevent Edit of P.O. Notes in Warehouse flag in the Company Inventory Parameters controls access to view only, or access to add/change/delete P.O. notes when the P.O. is reviewed from the VIEW P.O. on the Warehouse Receiving screen.
